Funded Project Room Operation Manual

Policy for the Funded Projects Room
Approved November 2012

A key pad entry lock is on the door of 243 MABL and 10 HSB. The combination to this lock will be changed periodically by the CYAF Office Supervisor. Faculty can request that the combination be changed by contacting the CYAF Office Supervisor. The CYAF Office Supervisor will be responsible for distributing the lock combination to users. Please do not give the combination to anyone. Faculty must direct students needing the combination to the CYAF Office Supervisor for the combination.

243 MABL

The Department provides a TV in this room. Cables exist that can be used to connect the TV to a laptop computer to project data or other research materials through the TV monitor or for video conferencing using software on the user’s laptop computer. The TV must be turned off and the cables must be put away appropriately by the user when done using this equipment.

General Guidelines that Apply to Use of Both 270 MABL and 10 HSB
The guidelines identified above pertaining to use of 243 MABL apply to the use of 10 HSB as a Funded Project Room. 10 HSB does not currently have the technology resources that are found in 243 MABL.

Because space is at a premium, faculty are encouraged to look for ways that data and research materials can be stored electronically.

All materials, data, equipment, etc. must be labeled with the following:

  • The name of the faculty member responsible for the funded project
  • The title of the project (abbreviated is fine)
  • The initiation and termination dates of the project
  • In the case of data, the date when the data can be destroyed.

Research materials must be removed within 6 months of the completion of the project. Exceptions (e.g., bridging work between one project and another; materials that are of general use or of use in other funded projects) to this timeframe will be granted on a case-by-case basis by the department chair and in consultation with others using these spaces. Data must be removed/destroyed within 3 months of the date when it can be destroyed.

Faculty and students using these rooms are responsible for the equipment, materials, and the room. Faculty are responsible for the security of their own data.

Faculty and students should make every effort to keep the rooms clean and free of clutter. While Janitorial Services will empty trash cans in the rooms, they will not empty recycling. Users of the rooms are responsible for ensuring that recycling is taken to the recycling bin. For 243 MABL, the nearest bin is located outside the north door of MABL. For 10 HSB, the nearest bin is located outside the north door of HSB. To keep the rooms clean and to protect the materials stored and used in the rooms, no food and drink are allowed. Please do not put food waste, including packaging, in the waste basket in the rooms.

Research posters should not be stored in in either 243 MABL or 10 MABL for more than 6 months.

Requesting Use of the Funded Project Rooms When preparing applications for external funding, faculty are encouraged to consider needs for space to support and carry out the project. Faculty may need to consider budgeting to rent space available on campus for such purposes.

In submitting an application for external funding, faculty should alert the Department Chair about what space will be needed to support and carry out the project. The Department Chair will keep an inventory of who is using the Funded Research Room space.

When faculty receive notice of external funding, they must contact the Department Chair to request use of the shared space. The Department Chair will notify the faculty members using the space to alert them that there will be a need to accommodate another funded project. It is expected that those using the space will work together to make necessary accommodations so everyone will have access to the resources of the Funded Project Rooms space.
